Into Breakcold

What Shuttio writes into Breakcold, where each object lands, the API key it needs, how slow Breakcold's API makes a big run, and what a rollback leaves.

Sources that can move into Breakcold: Spreadsheet / CSV, HubSpot, Pipedrive, Affinity, Twenty, Attio. A CSV import is free. A CRM migration is priced by record count; the sample is free. See pricing.

Object by object: What objects are supported for Breakcold migrations.

What Shuttio writes

  • People, companies and deals, linked as the source linked them: a person to its company, a deal to its company and its people.
  • Your own fields, as Breakcold custom fields created for you: text, number, currency, date, single and multiple choice, checkbox, phone, email and location. A field Breakcold already has under that name is reused, never retyped. A choice value Breakcold lacks is added as an option.
  • Deal stages: Breakcold's API has one stage field, so the stages of your pipelines become its options.
  • Notes and tasks on the deal, person or company they belonged to, with a task's due date. Meetings and calls as Breakcold custom activities; if your workspace takes none, as notes that say what they were.
  • Every record Shuttio creates carries a field named Shuttio source id. It is how a create whose answer was lost is found again, and it is deleted with the migration's other fields if you roll back.

The API key and why

Breakcold has no sign-in flow for integrations: you paste an API key (Breakcold, Settings, API keys). The REST API is only on some Breakcold plans. The key is stored encrypted and deleted 14 days after the migration finishes. If it reaches several workspaces, you also paste the id of the one to move into.

PermissionWhat Shuttio uses it for
records:readSearches for a person, company or deal you already have, so it is linked to and not duplicated.
records:writeCreates people, companies and deals and the custom activities for meetings and calls, and archives the records a migration created when you roll it back.
tasks:writeCreates tasks and deletes them on rollback.
notes:writeCreates notes.
crm:metadata:readReads your objects, fields and choice options.
crm:metadata:writeCreates the custom fields and choice options a migration needs, and deletes them on rollback. Without it those are skipped and the run says so.

Matching, and what is never changed

  • Breakcold's search is not exact, so Shuttio searches and then compares exactly: a person is matched on an email that equals the source email, a company on its domain, else on its exact name. Nothing close counts.
  • A record that matches one you already had is linked to, not written: its values are yours, and a cancel never touches it. The run counts them.
  • Rows that share a match value in one run become one record. A deal is always created.

Speed

Slow: Breakcold allows 120 requests a minute for a route and 180 for a key, and its search is not exact, so about 10,000 records take 1.5 hours or more. If Breakcold asks for a longer wait, the run pauses and Resume carries on.

Rollback

  • Rollback is partial: records are archived; notes and activities stay. Breakcold's API cannot delete a record, a note or an activity.
  • Records this migration created are archived: hidden from your lists, restorable in Breakcold, not erased. Delete them in Breakcold if you want them gone.
  • Tasks, the custom fields and the choice options Shuttio created are deleted.
  • Records you already had, and the options and fields you already had, are not touched.

Known limits

  • Files: Breakcold's API has no way to upload a file. Attachments are not moved.
  • Owners: Breakcold's API lists no workspace members, so a record cannot be given to a user. Records are written without an owner, and the run counts how many had one in the source.
  • Lists, products, line items, tickets and leads: Only people, companies and deals are written, with their notes, tasks, meetings and calls. This migration does not create custom objects in Breakcold.
  • Pipelines: Breakcold's API has no pipelines: the stages of every source pipeline become options of the deal stage field, and a stage two pipelines share is told apart by the pipeline's name.
  • A note's original date: Breakcold dates a note when it is written. The source's date is the first line of the note.
  • A note or task on several records: Breakcold's notes and tasks hang off one record. Shuttio writes them on the first that migrated (deal, then person, then company) and says how many named more. A meeting or call links the others.
  • Created time: A record keeps the time it was imported as its created time.
  • Rollback: It is partial: records are archived; notes and activities stay. Breakcold's API cannot delete a record, a note or an activity.
